Built-in Admin Roles

Quickbase provides built-in roles with various admin capabilities. These roles are described below. Note that these roles are separate from roles available via the app settings.

Realm admin

This role manages security settings for a realm (such as password complexity requirements), single sign-on settings, advanced encryption, as well as some user management settings (such as assigning super users). Each realm may have one or more realm admins.

Realm admins also have ownership over all the data in the realm’s billing account. However, realm admins do not automatically have any access to or admin rights over any of the accounts on the realm. Virtually all realm admins are also account admins (see below), for one or more of the accounts under the realm.

Full management account admin

This role has full access to manage an account, including managing users, groups, and apps. They also manage details about their Quickbase plan, and can update their payment method, change their plan, and cancel their service. Each account may have one or more full management account admins.

Full management account admins do not automatically have access to the apps on their account. A realm admin (see above) can grant a full management account administrator access to all apps on an account by making them a super user. Also, a full management account admin can promote themselves to application manager of any app on their account, giving themselves direct access and control of an app.

You have the ability to grant Pipeline access and management. Pipeline management is an option in the Admin console -> Permissions.

Support-level account admin

This role is similar to full management account admin. The difference is, support-level account admins cannot make any changes to an account’s plan, they cannot delete or transfer apps, and they cannot set certain account properties such as allowing apps on the account to be available to everyone on the internet.

The purpose of this role is to delegate the responsibility of day-to-day management of a Quickbase account without having full control over that account.

You have the ability to grant Pipeline access and management.

Billing contact Quickbase emails this person the invoice for Quickbase when applicable. Billing contacts do not have admin rights to an account. However, a billing contact may also be an account admin.
App admin (App builder) This person can change the structure of an app, such as updating tables, fields, forms, etc. (see chart). Each app can have one or more app admins.
App manager This person has all the privileges of an app admin and has additional app management capabilities such as deleting or transferring an app (see chart). Each app has only one app manager.

Important: Tasks for each role are additive – for example, if an account admin is also in another built-in admin role (such as realm admin), they will also have the capabilities listed under that role.

Customer care capabilities

Certain administrative tasks may only be performed by Quickbase Customer Care representatives. These include:

  • Change the account URL for a Quickbase account
  • Set the full management account admin when no one has this admin role
  • Grant permission to delete users
  • Override SAML access for a user
  • Reset a user’s security question and answer if no one has this capability
  • Restore a suspended account
  • Set up an email domain
  • Transfer an app to another account (for suspended or trial accounts)
